1. SCOPE OF APPLICATION
This Payment Policy applies to customers, agents, distributors, businesses and partners purchasing coffee products from MVG Coffee through mvgcoffee.com, direct transactions, email, telephone, purchase agreements or export contracts.
Depending on the product, order value, market and type of transaction, payment methods and conditions may be adjusted according to the specific agreement between MVG Coffee and the customer.
2. PAYMENT PRINCIPLES
Customers are responsible for making full and timely payment in accordance with the quotation, order confirmation or contract agreed upon by both parties.
MVG Coffee will confirm payment only after the funds have been credited to the company’s official account or received through an officially approved payment method.
All payments must be made using payment information provided by MVG Coffee through its official communication channels.
3. PAYMENT METHODS
3.1. Bank Transfer
Customers may make payment by bank transfer to MVG Coffee’s official bank account.
Official payment account information will be provided in the quotation, order confirmation, contract or through official communication channels.
Customers are responsible for carefully checking the account holder name, account number, bank name and other relevant information before making a transfer.
MVG Coffee shall not be responsible for payments made to an account that has not been officially provided by MVG Coffee.
3.2. Payment by Installments or Milestones
For high-value orders or products produced, roasted, ground or packaged according to specific customer requirements, MVG Coffee may apply a milestone payment arrangement.
The payment percentage and deadlines will be specified in the quotation, order confirmation or contract.
Depending on the transaction, payment may include:
• Deposit/payment upon order confirmation;
• Payment during production or preparation;
• Remaining balance before delivery or according to the agreed schedule.
Actual payment terms may vary depending on each transaction.
4. PAYMENT FOR EXPORT ORDERS
For international customers and partners, MVG Coffee may accept international payment methods appropriate to each transaction, including:
• International bank transfer;
• Advance payment;
• Payment by installments or milestones;
• Payment according to the terms of the foreign trade contract;
• Other payment methods mutually agreed upon by both parties.
For export orders, payment terms may be determined based on the contract value, importing country, delivery terms, delivery schedule and commercial agreement between the parties.
5. PAYMENT CURRENCY
For domestic transactions, payment is generally made in Vietnamese Dong (VND), unless otherwise agreed and permitted by applicable regulations.
For international transactions, payment may be made in USD or another currency as specified in the foreign trade contract and in accordance with applicable laws and regulations.
6. PAYMENT DUE DATE
The payment due date shall be specified in the quotation, order confirmation or contract.
An order may only proceed to preparation, production or delivery after MVG Coffee confirms receipt of the required payment or deposit in accordance with the agreed terms.
For customized products, MVG Coffee may require partial or full advance payment before production begins.
7. BANK AND TRANSACTION FEES
For bank transfers or international payments, transaction fees, transfer fees, intermediary bank charges and other related costs shall be allocated according to the agreement between MVG Coffee and the customer.
For international transactions, the customer shall ensure that the amount actually received by MVG Coffee corresponds to the agreed payment amount, unless otherwise specified in the contract.
8. PAYMENT CONFIRMATION
After making a payment, customers may provide the transaction details or payment receipt to MVG Coffee to facilitate reconciliation.
MVG Coffee will verify and confirm the payment after the funds have been credited.
Confirmation time may depend on the bank, payment method and transaction processing time.
9. INVOICES AND DOCUMENTS
MVG Coffee will issue invoices, sales documents and other relevant documents in accordance with applicable laws and the agreement with the customer.
For export orders, commercial documents and other relevant documents will be prepared according to the terms of the contract and the requirements of the transaction.
10. LATE PAYMENT
If a customer fails to make payment by the agreed deadline, MVG Coffee may:
• Suspend order preparation or production;
• Suspend delivery;
• Adjust the expected delivery schedule;
• Require completion of outstanding payment before continuing the order;
• Apply the terms and conditions agreed in the contract, where applicable.
For transactions governed by a contract, late-payment handling will follow the applicable contractual terms.
11. REFUNDS
Where a customer is determined to be eligible for a refund under the applicable agreement or MVG Coffee policy, the refund will be processed through an appropriate payment method.
The refund processing time depends on:
• The original payment method;
• The relevant bank or payment institution;
• Transaction processing time;
• MVG Coffee’s reconciliation procedures.
For international payments, refunds may take longer due to international banking and payment processing procedures.
12. INCORRECT OR EXCESS PAYMENTS
If a customer transfers an incorrect amount or makes an excess payment, the customer should contact MVG Coffee and provide the relevant transaction receipt for verification.
After verification, MVG Coffee will coordinate with the customer to resolve the incorrect or excess payment in accordance with applicable regulations and the agreement between the parties.
13. PAYMENT SECURITY AND CONFIDENTIALITY
MVG Coffee applies appropriate measures to protect payment and customer information.
MVG Coffee will not ask customers to provide banking passwords, OTP codes or other banking authentication credentials via email, messages or unofficial communication channels.
Customers should be cautious of requests to transfer funds to an account that differs from MVG Coffee’s official payment information.
If a customer receives an unusual request to change payment account information, the customer should directly verify the information with MVG Coffee before making any transfer.
14. PAYMENT AND DELIVERY
Payment and delivery will be carried out according to the conditions agreed in the order or contract.
For export orders, each party’s responsibilities relating to payment, delivery, transportation, insurance, taxes, fees and risks shall be determined according to the contract and applicable commercial terms.
15. PAYMENT-RELATED DISPUTES
In the event of a payment-related dispute, both parties will first seek to communicate and reconcile the transaction in a cooperative manner.
Customers should provide relevant documents, including:
• Order number;
• Contract number;
• Bank transfer receipt;
• Payment date and amount;
• Transaction reference or description;
• Other relevant documents.
For transactions governed by a contract, disputes will be handled in accordance with the dispute resolution provisions agreed by both parties.
16. CHANGES TO THIS PAYMENT POLICY
MVG Coffee reserves the right to update or amend this Payment Policy to reflect changes in business operations, payment methods, applicable laws and customer service requirements.
The updated version will be published on mvgcoffee.com and will take effect from the date of publication unless otherwise stated.
