1. Scope of Application
This Shipping Policy applies to customers, agents, distributors, businesses and commercial partners purchasing coffee products from MVG Coffee through mvgcoffee.com, direct transactions, email, telephone, sales contracts or export contracts.
Shipping methods, delivery times and shipping costs may vary depending on the product, order quantity, delivery location and agreed transaction terms.
2. Shipping Methods
MVG Coffee may use suitable transportation methods depending on each order.
For domestic orders:
• Courier and express delivery services;
• Road transportation;
• Logistics providers;
• Vehicles operated by MVG Coffee or its partners;
• Other transportation methods agreed by both parties.
For international orders:
• Sea freight;
• Air freight;
• Multimodal transportation;
• International logistics providers;
• Other transportation methods agreed in the contract.
3. Packaging
MVG Coffee packages products appropriately according to the characteristics of each product and transportation method.
Depending on the product, goods may be packed in commercial packaging, coffee-specific bags, pouches or boxes, bulk bags, customer-requested packaging, or export-standard packaging.
For export orders, packaging specifications may be adjusted according to customer requirements and applicable regulations in the destination market.
4. Delivery Areas
Domestic Delivery:
MVG Coffee may deliver products to provinces and cities throughout Vietnam, subject to supply capacity and available transportation services. Customers must provide complete and accurate delivery information.
International Delivery:
MVG Coffee may supply products to international customers and partners according to its supply capacity and applicable export conditions.
For each destination country, MVG Coffee will discuss the port of departure, port of destination, transportation method, delivery terms, estimated delivery time, documentation, taxes, fees and related obligations with the customer.
5. Delivery Time
Delivery time depends on the product type, order quantity, stock availability, packaging requirements, delivery location, transportation method, weather conditions, carrier capacity, documentation and other applicable procedures.
For domestic orders, the estimated delivery time will be communicated when the order is confirmed.
For export orders, delivery schedules are determined based on production, preparation, vessel or flight schedules, customs procedures and the agreed delivery terms.
International transit times may change due to vessel schedules, weather, ports, customs procedures or other factors beyond MVG Coffee’s reasonable control.
6. Shipping Costs
Shipping costs may depend on the weight and quantity of goods, package dimensions, delivery location, transportation method, carrier and logistics-related expenses.
Depending on the agreement, shipping costs may be:
• Paid by MVG Coffee;
• Paid by the customer;
• Shared by both parties; or
• Included in the quoted product price.
The applicable shipping terms and costs will be communicated before the customer confirms the order.
7. Export Shipments
For export orders, MVG Coffee and the customer will agree on the transportation method, loading port, destination port, delivery terms, logistics provider, cargo insurance where applicable, customs responsibilities, taxes and fees, transfer of risk and export documentation.
These matters will be specified in the quotation or foreign trade contract.
8. International Delivery Terms
For export transactions, MVG Coffee may apply appropriate international commercial terms as agreed by both parties.
Delivery terms may be based on the applicable Incoterms® rule selected by the parties and stated in the contract.
Each party’s responsibilities, costs and risks will be determined according to the agreed delivery term.
9. Inspection Upon Delivery
Customers should inspect the goods immediately upon receipt, including the number of packages or bags, product type, packaging specifications, packaging condition and any signs of damage, moisture or other abnormalities.
If an issue is identified, customers should:
1. Record the condition of the goods;
2. Take photographs or videos;
3. Notify the carrier when appropriate;
4. Contact MVG Coffee as soon as possible;
5. Provide delivery records and relevant supporting documents.
10. Goods Damaged During Transportation
If goods are damaged during transportation, responsibility will be determined based on the delivery terms, the point at which risk transfers, the contract or order, the carrier’s responsibility, delivery records and applicable law.
MVG Coffee will cooperate with the customer and carrier to investigate the cause and provide support within the scope of its responsibility.
11. Unsuccessful Delivery
Delivery may be unsuccessful if the customer provides an incorrect address, no recipient is available, the recipient cannot be contacted, the customer refuses delivery, the address does not exist or cannot be accessed, or other circumstances attributable to the customer occur.
In such cases, additional costs for redelivery, storage or return shipment may be charged to the customer according to the applicable agreement.
12. Change of Delivery Address
Customers should notify MVG Coffee of any delivery address change before the goods are handed over to the carrier.
After the goods have been handed over to the carrier, an address change may result in additional costs or a change in delivery time.
MVG Coffee will provide reasonable assistance subject to the carrier’s conditions and capabilities.
13. Order Tracking
Depending on the transportation method, MVG Coffee may provide:
• Tracking number;
• Carrier information;
• Shipment information;
• Container information;
• Vessel or flight information;
• Relevant shipping documents.
For international shipments, tracking information may depend on the systems of the shipping line, airline or logistics provider.
14. Delivery Delays
MVG Coffee will make reasonable efforts to deliver goods within the agreed timeframe.
However, delivery may be affected by weather, natural disasters, epidemics, traffic congestion, vehicle incidents, port conditions, vessel or flight schedules, customs procedures, changes in government regulations, logistics disruptions and other force majeure events.
If a significant delay is expected, MVG Coffee will notify the customer and cooperate to find an appropriate solution.
15. Cargo Insurance
For shipments requiring cargo insurance, the party responsible for arranging and paying for insurance will be determined according to the contract or agreed delivery terms.
For export transactions, insurance responsibilities will be determined according to the international commercial term stated in the contract.
16. Customer Responsibilities
Customers are responsible for:
• Providing accurate recipient information;
• Providing a complete delivery address;
• Providing a valid contact telephone number;
• Cooperating in receiving the goods;
• Inspecting the goods upon delivery;
• Promptly reporting any abnormalities;
• Paying shipping costs according to the agreement;
• Fulfilling applicable import obligations for international shipments as agreed and required by applicable regulations.
17. MVG Coffee Responsibilities
MVG Coffee undertakes to:
• Prepare goods according to the confirmed order;
• Package products appropriately for the product and transportation method;
• Hand over goods to the carrier according to the agreement;
• Provide shipping information to the extent reasonably available;
• Coordinate the handling of issues that arise;
• Support customers throughout the delivery process;
• Fulfill its responsibilities under the contract and agreed delivery terms.
18. Force Majeure
MVG Coffee shall not be responsible for delays or losses caused by events beyond its reasonable control, including natural disasters, storms, floods, fires, epidemics, wars or conflicts, strikes, transportation disruptions, port disruptions, vessel, aircraft or vehicle incidents, changes in government policies or regulations, customs incidents, supply chain disruptions and other force majeure events recognized by applicable law.
In the event of force majeure, MVG Coffee will notify the customer and cooperate to determine an appropriate solution.
19. Shipping Complaints
Complaints relating to shipping should be submitted to MVG Coffee within a reasonable period after receipt of the goods.
Customers should provide:
• Order number;
• Contract number, if applicable;
• Tracking or shipping information;
• Photographs or videos of the goods;
• Delivery records, if available;
• Description of the complaint;
• Relevant supporting documents.
MVG Coffee will review the information and coordinate with relevant parties to resolve the matter.
20. Changes to the Shipping Policy
MVG Coffee reserves the right to update or amend this Shipping Policy to reflect changes in its business operations, logistics methods, products and applicable regulations.
The updated version will be published on mvgcoffee.com and will take effect from the date of publication unless otherwise stated.
